NSLP point of sale that counts meals the way auditors expect
The National School Lunch Program reimburses by category — free, reduced-price, and paid — and every dollar depends on point-of-service counts that hold up in review. Trinity POS records each reimbursable meal at the moment of service, applies the student’s current eligibility on the server, and rolls the counts into claim worksheets with the federal edit checks already applied.
Point-of-service counting, done correctly
USDA requires counts taken at the point of service, by category, with no overt identification of free and reduced students. Trinity enforces all three:
- One reimbursable meal per student per meal service per day — enforced across every site in the district, even for dual-enrolled students, with a database-level backstop against double-taps from two devices.
- The register never displays eligibility status; category pricing is applied server-side (7 CFR 245.8).
- Eligibility is evaluated against the meal’s service date — carryover grace windows, direct certification, and verification outcomes all resolve to the correct governing determination.
- Charge policies per school: cumulative balance limits, low-balance warnings, and alternate-meal handling, configured by the district.

Counts are only as good as the determinations behind them. Trinity carries the full NSLP eligibility lifecycle in the same system: online and paper free/reduced applications with income-guideline computation, SNAP/TANF/FDPIR categorical eligibility, direct certification file imports, the 30-operating-day carryover grace window, verification sampling with the FNS-742 collection report, and trilingual determination letters generated and emailed automatically.
Claim worksheets with built-in edit checks
At claim time, Trinity assembles per-site NSLP and School Breakfast worksheets from the recorded serves — meals by category, operating days, enrollment — and flags anything that fails an edit check (for example, counts exceeding the attendance-factor threshold) before it reaches the state. Worksheets export to CSV and every submission is tracked with status and state reference numbers. Your team enters the final figures in the state portal; nothing is auto-filed on your behalf.
CEP and multi-program districts
Sites electing the Community Eligibility Provision get ISP-based claiming percentages and SFA-1 worksheets; SFSP summer sites get their own counting and SFA-3 worksheets. A district can run NSLP, SFSP, CACFP, and CEP sites side by side in one tenant, and serves are never double-counted across programs.
